Scheduling Application Management (SAM)
Designed with the input of dozens of CART writers and captioners from around the country, the premiere Captioning and CART scheduling management software is now available to everyone. Accessing this scheduling program through “cloud computing” allows access to anyone, at any time, in any place.
What does it do?
SAM schedules, invoices, reminds, reports, preps and creates directories.
SAM enables you to schedule events for your company. Based on a client database, you are able to schedule events for one time only or for multiple repeating events, like a school semester. Imagine, putting the information into the schedule one time and having it propagate for every week of the semester. While automation is a time saver, the program has overrides for those last-minute changes as well.
In addition to scheduling, you are able to prepare reports for invoicing clients. One click will give you monthly reports (whatever time parameters you desire) in an Excel format.
Once information is entered, you can send Job Detail Reports to your ICs/employees. All the client information is in one place with the click of one button.
Weekly schedules can be sent to ICs/Employees to ensure there are no conflicts. ICs/Employees can log in and see their own schedule as well.
Since staff is able to log-in to SAM, they are able to see their job detail reports, access prep that you upload and keep track of their invoices.
After a job is completed, in addition to the staff member completing their invoice, they can upload their file at the same time and automatically send it to the client if desired.
Invoicing from and to
There are two parts of invoicing with SAM. ICs/employees no longer need to submit invoices. They log into SAM and enter the time they have worked. A tally is kept and can be downloaded by administration as they prepare to issue paychecks. Concerned about over- or under-invoicing by staff? If an IC/employee enters a number that does not match what was scheduled, a “red flag” alerts management to a “non-match.”
SAM will produce full client reports for invoicing as well. These reports can be used to accompany your invoice that you send to clients. The report has the detail, your invoice has a total.
How much information can you enter?
Imagine no more files, papers or notebooks. There are multiple databases in SAM.
1. IC/employees – work alone? You can list all your necessary information and be done. Have a couple of folks who help you out from time to time? Add their information. Directories can be printed, important information is secured. Have 20 IC/employees? Here is one secure spot for all employee information.
2. Client database – who is your client? Do you have multiple customers under that one client? All contact information, addresses, phone number(s) and job nuances are listed here. A separate area allows for you to enter accounts receivable date. Information includes client contact, payment contact, accounts receivable are all listed. Everything related to the client is stored in this database.
When you merge jobs, dates and IC/employees, the reports that you can generate are countless. Interested in knowing exactly how much work a particular IC/employee is doing? Just click and sort. Interested in what a client is doing for a particular month? Click and sort. Interested in estimating what your payroll is going to be? Click and sort. Compare services offered day-to-day, month-to-month or year-to-year.
I’m a small shop, do I need this?
This is a perfect solution for you. Since SAM is only as effective and accurate as the information that is programmed into it, you can start from the beginning and grow your business and clients. SAM is scalable. Have two ICs/Employees and 5 clients? Perfect. Have 50 ICs/employees and 200 clients? Perfect.
Interfaces with StreamText
If you provide remote services and use the premiere remote text streaming platform, StreamText, then SAM is for you. After making a few software programming choices, you are able to automatically program StreamText. All data is entered once and programs multiple places.
Prerequisites
If your computer skills are not too strong, SAM is great for you. This intuitive program goes step-by-step. It allows you to program as much or as little information as you’d like. There has not been a user that that has been challenged by the technology.
Rates
Rates are based on usage and start as low as $25 per month.
